Swim Team Volunteer Jobs

To make Woodlands Swim Team successful, we need help from every family. This year, each family is responsible for 9 meet jobs, plus 3 jobs at the Woodlands Invitational and 1 League (Conference) Meet job. When you register your child(ren) for swim team, you will be asked to sign up for these jobs. For more information on job specific job requirements and rules please click here.

Grill Master Grillmasters are required at all home meets and are responsible for the cooking of all grilled items (hot dogs, hamburgers, chicken, tri-tip, etc).  This is a great Dad job. 
Merchandise Merchandise volunteers are needed at all home meets to sell our official Woodlands wares. Set up and take down of the merchandise table is also needed. Woodlands merchandise includes t-shirts, sweatshirts, sweat pants, hats, swim caps, etc. This a good job for parents of any age swimmer.
Recorder Some away meets require recorders who sit behind the timers and manually write down the timing results of each race on an official race sheet. A recorder job requires your full attention is not appropriate for parents of younger swimmers or when only one parent is present.
Ribbons The ribbons job involves affixing the labels to the appropriate ribbons(1st, 2nd, 3rd, Heat Winner, etc.) as the races are completing. They normally sit close to the timing desk and computer system which provides the meet results as they come in. Ribbons volunteers must also file the ribbons in the appropriate family folders/mailboxes. Ribbons can be completed at home, but we ask that all awards are filed in the family mailboxes by the next morning. At home meets this can be an appropriate job for a family with younger swimmers.
Round-up Round-up volunteers ensure that our 8-and-under swimmers have reported to their correct lanes - and stay there - prior to their races. Our 2011 round-up coordinator Jenn Philips is available to assist parent volunteers throughout the meet. This is a great job for a parent of an 8-and-under swimmer.
Runner The runner volunteer circulates behind the timers gathering the timing sheets and delivering them to the computer desk on a regular basis. Like timers, this is a job better suited for parents without the distractions of younger swimmers.
Set-up Needed at each home meet, the set-up job includes putting up starting blocks, lane ropes, pop up tents, backstroke flags, desks and chairs for timers and recorders, and the set up of the timing system. There is a set-up leader at each home meeting to coordinate all of the tasks. Set-up starts 90 minutes before the meet begins- which means 7:30AM on a Saturday and 4:30PM on weekdays. This is a great job for any parent.
Snack Shack and Snow Cones Snack shack volunteers are needed at all home meets. There are many tasks that are required to support the snack shack. This includes food preparation, taking orders and money, selling snow cones, candy, burgers, hot dogs and other food items. Snack shack volunteers are also responsible for the set-up and take-down of the snack shack area. Normally, snack shack is broken into two shifts to ensure adequate coverage. Snack Shack is an appropriate job if both parents are present at the meet and one can cover the kids and the other work. It is also a good job for a parent of a self-sufficient swimmer .
Take Down At the end of each home meet, volunteers are needed to carefully take down and store all swim meet equipment and empty all garbages. A take-down leader is present to guide volunteers throughout the process. This is an excellent Dad job.
Timer Timers sit in assigned chairs at the appropriate end of the pool and use either a plunger, a wireless remote or stopwatch to time the races. There is normally a Head Timer at each meet who works with the other 18-24 timers to ensure the meet runs smoothly. Both home and away meets requires timers. Timing jobs require your full attention and therefore are not appropriate if your swimmers require regular attention.
Timer Relief The Timer Relief volunteer circulates behind the timers on a regular basis offering relief as needed for bathroom, food, or race breaks for the assigned Woodlands Timers. Timer Relief volunteers may also be asked to provide relief or fill in for other meet jobs. Relief jobs are good for most families if both parents are present at the meet.
No Show Policy: When you sign up to work a meet, you must show up on time and ready to work. If you fail to show up for a job and do not provide a responsible adult replacement, $20 of your worker deposit fee will be paid to the volunteer who replaced you.
